Before the lease is signed

What is a commercial lease application?

A commercial lease application gathers information about the business seeking your space and the people responsible for the request. It gives an owner a basis for reviewing the prospect before agreeing to a lease. It is not the signed lease itself.

For an office or industrial deal, the information your team needs can vary with the business, property and proposed use. On TROT, you select the requested documents and optional questions, then review what the applicant submits alongside their booking request.

  1. 01

    Invite your prospect

Send a renter invitation when your prospect is ready to apply. Your existing marketing and broker relationships stay in place.

  2. 02

    Collect the business profile

The applicant provides their contact and company details through the invitation, giving your team a profile to review.

  3. 03

    Request the documents you need

Choose the documents and optional questions for your invitation. The applicant uploads the requested material rather than sending separate email attachments.

  4. 04

    Review the space request

The renter requests a space. Your owner and authorized team review the request before the deal proceeds to signing and payment through the connected checkout.

Decide what you need to review.

Start with the applicant's company and contact information. Choose any supporting documents and questions relevant to your space and proposed deal.

  • Who is applying and which business will occupy the space?
  • What use and space requirements does the applicant describe?
  • Which requested documents are available for your team's review?

Your team makes the decision.

Document collection is not automatic tenant approval or a credit/background check. TROT organizes the submission; the owner and authorized team assess the information and decide whether the request should proceed.

An owner-added broker can work within the accounts shared with them. Once the request is approved, the connected checkout handles signing and payment, and the owner portal tracks the deal's progress.
